Why we collect data

 We process your information only for the purposes justified by our services. We process this information respecting your fundamental right to privacy, including the need to protect your personal integrity, privacy, and always take care not to collect any more information than is necessary to deliver the service you desire. Unless otherwise stated, we at Monicars determine the purpose and method of collecting your information, and in legal terms, this would mean that we act as a “processing manager” of your personal information.

We collect data so that we can:

  • Provide you with a vehicle reservation service
  • Conclude a rental agreement and issue an invoice
  • Respond to your questions, complaints and reclamations
  • Send you information about our offers

 

What information we collect

Vehicle reservation

If you would like to make a reservation, the personal information we will need to provide you, for example: name, surname, address, telephone number and e-mail address.

Vehicle Lease Agreement

Once you have decided that you would like to rent one of the vehicles we offer, we will need some more of your personal information in order to be able to conclude a Lease Agreement. This information includes, for example:

  • name and surname
  • address, city
  • VAT number
  • date of birth
  • Identity card / passport (number and expiry date)
  • driver’s license number, issuer and validity period
  • credit card number
  • telephone number
  • e-mail address

 

 Inquiry / Complaint / Objection

If you were dissatisfied with something or would like to report something that was wrong with the vehicle, we will need your following information:

  • name and surname
  • address
  • VAT number
  • telephone number
  • any other information you provide to us or that is necessary for us to act on your inquiry, complaint or objection

 

How we collect data

Generally, we collect data in the following ways:

  • By your request for our services
  • When you explicitly provide them to us, for example, by sending us an email or making a phone call
  • By means of a direct marketing permit, which may be given, for example, by e-mail, or by directly signing a consent form, for example, when arriving at our branches

Whenever possible, we will keep you informed of what information you need to provide us before you begin our services.

Some third-party sites may monitor the flow of information from our products and services, such as the number of clicks and search terms used. We do not provide any of your personal information for these services.

 

How we protect your information

We have appropriate technical and administrative security measures in place to ensure that our users’ information is protected from unauthorized or accidental access, use, alteration or loss. The measures taken are regularly reviewed and continually adjusted to the current state of technology.

MONICARS may supply your personal information to third parties in the following cases:

  • for the purpose of entering into and / or executing contracts or processing transactions with intermediaries, agencies through which you have contacted MONICARS
  • to prevent or limit the damage that may be caused to MONICARS;
  • in other cases, provided you have given your consent.

In any case, MONICARS will, when sharing your personal information with third parties, prohibit the use of your personal information for a different purpose than the contract, and will oblige the third party to maintain the confidentiality of personal information.

 

How long we keep your information

We will keep personal information in a form that allows identification only for as long as is necessary for the purposes for which the personal data are processed or as long as certain regulations of our country require the processing manager to keep personal information. Personal data may be stored for long periods under certain prescribed conditions such as for statistical purposes, for purposes of archiving in the public interest.

In the case where we process your data on a voluntary basis, if you revoke your consent, we will stop processing your data and no longer use it for the purposes given, but this may result in the inability to use some of the additional benefits associated with it.

Please note that we will not delete your data at the specified time intervals, if the procedure for enforced collection of unpaid arrears is initiated, or if another procedure is initiated, then the personal data will be deleted after the final completion of the same procedure or after the statute of limitations in accordance with the regulations which regulate obligatory-legal relations.

 

Your rights

  • Right to access personal information – You have the right, in writing, by telephone or in person, to obtain and obtain information about personal data concerning you that we process, provided that your identity is clearly established and proven.
  • Right to rectify or supplement personal information – if your information is inaccurate or incomplete, you have the right in writing or in person to request correction or supplement of personal information by submitting an additional statement, provided that your identity is clearly established and proven. You are responsible for providing the correct personal information and you are obliged to inform us of any relevant changes to your personal information (change of name, address, etc.)
  • Right to erase personal data – if there are no longer reasons why your personal data are processed, and for the purpose for which they were collected, such data will be deleted, if it is not contrary to the applicable regulations or if it is not about the processing of data in statistical purposes where it is no longer possible to identify the person to whom the data relate, on the basis of personal data, or if they are not necessary for the purpose of making, meeting or defending legal claims.
  • Right of withdrawal for marketing purposes – you have the right at any time to withdraw your consent to deliver our marketing email.
  • Right to object to the processing of personal data based on the legitimate interest of MONICARS – you have the right to object at any time, stating reasons relating to your interests in writing or in person at the address of our corporate headquarters. In this case, we will notify you whether the legitimate interests of our company outweigh your interests and it is necessary to further process your personal information in order to obtain or defend a legal claim in which case the information will continue to be processed.
  • Right to complain to the supervisory authority – you have the right to file in writing or in person at our headquarters address as well as the Personal Data Protection Agency.
  • Right to portability of personal data – you have the right to request in writing or in person at your headquarters to make available to your information on a voluntary or contractual basis in a structured, customary and machine-readable format if we have processed this information through automated procedures.
  • Right to Restrict Processing – You have the right to request in writing or in person at our corporate headquarters to temporarily block the processing of personal data, provided you dispute the accuracy of the information and are required to verify the accuracy of the data or the processing is not allowed, and you do not want to delete the data if MONICARS this information is no longer needed and you are seeking it for legal purposes or if you have objected and are awaiting confirmation from MONICARS that our legitimate reasons go beyond your reasons.

 

Abuse of rights

We may charge you a reasonable fee based on administrative costs or refuse to act on your request if your requests are manifestly ill-founded or excessive, and especially because of their repeated repetition.
